Lead Intake Specialist (INTERNAL)

Summary

The Lead Intake Specialist will act as team lead during Supervisor absence as well as for any Intake Specialist, Intake Care transitions and Intake Support absences. This position will allow the Supervisor to complete Supervisor functions while the day-to-day tasks are monitored and reported to Supervisor as necessary.

Position responsibilities may include, but not limited to

    • Proactively work with case workers to ensure authorization paperwork is received prior to any possible gab in a client’s home delivered meal service 
    • Leverage multiple means of communication to resolve client accounts that do not have the correct paperwork to continue services 
    • Escalate concerns to case worker manager/supervisors in a professional manner to show we are doing everything we can to service our mutual clients
    • Document all interactions with internal and external clients 
    • Develop relationships with key people externally to ensure we have the trust of our agencies and can help get resolution in a timely manner 
    • Assist during Intake Specialist, Intake Care Transitions and Intake Support absences
    • Assist with new hire training 
    • Monitor email inboxes 
    • Monitor the IN Web portal and assist as needed 
    • Monitor Request to Restarts
    • Research weekly On Time Delivery Report for Intake associated exception reasons 
    • Auto-generate orders on a biweekly basis
    • Act as primary Intake Representative for any new states added on to the waiver program and work with Billing to ensure all Intake and Billing requirements are completed on the Program Information Sheet
    • Closing out state transitions – Rep will work their lists through a majority of the transition. As transition approached this rep will finalize any remaining clients 
    • Attend any Billing/Intake/Logistics biweekly meeting when necessary 
    • Coordinate with logistics on any delivery changes and ensure agencies are being contacted with all information

Required skills and experience

    • 2 years minimum working in the Intake department at Mom’s Meals 
    • Extensive knowledge of CareLink
    • Extensive knowledge of multiple payment agencies, policies, and rules 
    • Knowledge of State Medicaid regulations

Preferred skills and experience

    • Ability to make decisions and think “big picture” when doing so

Physical requirements

    • Repetitive motions that include the wrists, hands and/or fingers
    • Sedentary work that primarily involves sitting, remaining in a stationary position for prolonged periods
    • Visual perception to perform job including peripheral vision, depth perception, and the ability to adjust focus
