Customer Service Representative (INTERNAL)

Summary

Mom’s Meals, the leading national provider of refrigerated home-delivered meals in the healthcare market, is in hyper-growth mode. The Customer Service Representative serves as the front line to our customers placing meal orders. This position is responsible for providing excellent customer service to our clients while efficiently and accurately submitting their order. Position Responsibilities may include, but not limited to

    • Handle inbound and outbound customer service calls with our clients placing their meal order
    • Address questions, and provide exceptional customer service
    • Input order information into the appropriate client order screen
    • Document all conversations with client into client information database
    • Ensure all assigned clients are contacted and have an order on file
    • Contact case managers via telephone, email, and/or fax when a special situation arises regarding one of their clients
    • Work quickly and efficiently without making the client feel rushed

Required Skills & Experience

    • High school degree or GED
    • 1 year of previous customer service experience
    • Previous knowledge and experience using the Microsoft Office suite (Word/Excel/Outlook)
    • Clear oral communication skills
    • Ability to deescalate situations and quickly resolve customer complaints
    • Prior experience adhering to company policies and showing core values

Preferred Skills & Experience

    • 1 year of previous call center experience
    • Previous experience with auto dialer, multi-line phone system, and/or Customer Relationship Management (CRM) systems
    • Previous experience working with HIPAA policies and procedures
    • Bilingual (English/Spanish)  

Physical Requirements

    • Repetitive motions that include the wrists, hands and/or fingers
    • Sedentary work that primarily involves sitting, remaining in a stationary position for prolonged periods
    • Visual perception to perform job including peripheral vision, depth perception, and the ability to adjust focus

The Care Navigator is responsible for conducting social care screenings, eligibility assessments, referral coordination, and ongoing care navigation activities for Medicaid members and other eligible populations participating in Social Care Network (SCN), 1115 Waiver, ILOS, Value-Added Benefit (VAB), and related programs. This work is completed telephonically. The Care Navigator provides person-centered, culturally responsive, trauma-informed telephonic and technology-enabled navigation services designed to identify unmet health-related social needs and connect individuals to appropriate community-based resources and services. Responsibilities include screening completion, eligibility verification, referral placement, closed-loop referral follow-up, documentation, consent management, and coordination with community-based organizations, managed care organizations, and healthcare partners. Documentation and tracking activities will occur within both internal and external technology platforms. The Care Navigator is expected to maintain compliance with organizational policies, state program requirements, productivity standards, quality metrics, and confidentiality regulations. The Care Navigator reports to the Care Navigation Program Manager. This is a remote/hybrid position that may be located in Iowa or New York, with potential expansion into additional states. Occasional travel to offices in Iowa and New York may be required.

This role is responsible for ensuring the efficient, accurate, and compliant management of referrals, eligibility verification, service authorizations, enrollment processes, and related intake activities. The Intake Director collaborates closely with referral sources, payers, care managers, providers, and internal departments to facilitate seamless service access, optimize operational performance, and maintain regulatory compliance while delivering high-quality member experience. The Intake Director develops and manages intake workflows, performance metrics, quality standards, and staff development initiatives to ensure exceptional customer service and operational efficiency while supporting organizational growth and contractual compliance. Preference will be given to local candidates to the Des Moines, IA area. If a remote candidate is selected, they will be required to travel to our headquarters in Ankeny, IA (company paid) on their first 1-3 days for orientation.
